Privacy Policy

1. Who we are

schoolbot operates an AI assistant that answers questions from a school's own uploaded policy documents, with gap detection — questions your policies do not clearly answer are flagged for leadership to review. Reporting against accreditation frameworks is under development and is not part of the Service today. Our customers are schools and organizations; their staff and parents are the end users. 2. What we collect

We collect only what we need to run the service:

• Contact and lead details — when you submit the form on our website: your name, work email, optional phone number, school name, role, country, school type, curricula, accreditation bodies, levels offered, approximate student count, and your message. We use these to respond to you and to set up your school. Form submissions are also delivered to our inbox by email.
• Account data — your email address or WhatsApp number, one-time sign-in codes (stored hashed), and session tokens.
• Customer content — the policy documents your school uploads. Questions may be recorded when they reveal a policy gap, along with answer-feedback votes, so your school's leadership can review them.
• Usage metrics — AI token counts and costs. Usage records never include the text of anyone's questions.
• Public demo — the demo on our website does not store your messages; we keep only transient anti-abuse counters.
• Cookies — we use essential cookies for sign-in and security only. We do not run advertising or tracking cookies.

3. How we use data

We use the data above to:

• provide, operate, and improve the service;
• respond to your enquiries and set up your school;
• keep the service secure and prevent abuse;
• comply with legal obligations.

4. AI processing

Where your school has connected its own AI provider account (such as Anthropic or OpenAI), content is processed through that account, and that provider's privacy terms apply to the processing.

We never use personal data or customer content to train AI models, and we never sell personal data.

5. Storage and security

The service is hosted on Google Cloud in the European Union (Germany and Belgium), with Cloudflare providing edge delivery and document storage. Data is encrypted in transit and at rest.

Bring-your-own AI keys are encrypted at rest and never written to logs. Each school's data is isolated in its own tenant, and operator access is audited.

6. Sharing

We share personal data only with the service providers (subprocessors) we need to run the service, and only for that purpose:

• Google Cloud — hosting (European Union);
• Cloudflare — edge delivery and document storage;
• our email delivery provider — to send sign-in codes and to deliver enquiries to our inbox;
• the AI provider(s) your school configures — to generate answers.

We may also disclose data where required by law. We do not sell personal data to anyone.

7. Children

The service is provided to schools, and each school controls its community's data — including any student users — as the responsible institution. This marketing website is not directed at children.

8. Retention

We keep lead and contact details for as long as needed to handle your enquiry and our relationship with your school. Customer content is kept until your school deletes it or terminates the service. You may request deletion at any time by emailing alex@abcnd.com.

9. Your rights

You can ask us to access, correct, or delete your personal data, or object to how we process it, by emailing alex@abcnd.com. We honor applicable data-protection laws, including the GDPR where it applies.

10. International transfers

The service is hosted in the European Union. When you access it from your region, your data travels to and from those EU systems (with Cloudflare handling edge delivery along the way).

11. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated policy on this page with a new "Last updated" date.
